ADMINISTRATIVE ASSISTANT/BOOKKEEPER

 The Administrative Assistant/Bookkeeper is responsible for keeping financial records, serving as the liaison between NELCWIT and its contracted accountants, and for receptionist and general office functions.  The Administrative Assistant/Bookkeeper will work closely with NELCWIT’s payroll service and other vendors, and will report to the Executive Director.

 Responsibilities:

Accounting and bookkeeping functions in collaboration with NELCWIT’s accounting and payroll services, including the following:

·       Prepare weekly cash reports for Executive Director.

·       Organize and maintain financial records and files, including bills and receipts.

·       Collect and prepare paperwork for vendor payments and staff reimbursements for posting by accountants.

·       Research and resolve billing problems with vendors.

·       Process purchase requests and order supplies.

·       Verify and maintain petty cash funds.

·       Assist in audit preparation as needed.

·       Track and report personnel changes to insurance carriers and other employment benefit plans (including 403b, health insurance, COBRA, long and short term disability).

·       Act as backup for payroll preparation as needed.

·       Other responsibilities assigned by the Executive Director.

 General office functions include the following:

·       Answer phones and greet visitors.

·       Photocopying, mailings, word processing, and similar activities.

·       Other responsibilities assigned by the Executive Director.

 Qualifications:

·       At least 4 years general office and bookkeeping experience.

·       Good computer skills, including Microsoft Excel and Word and internet use.

·       Ability to work accurately and with attention to detail in busy office environment.

·       Friendly, professional manner.

·       Ability to understand and maintain confidentiality.

·       Ability to model and uphold appropriate boundaries in work with clients, co-workers, and the community.

·       Commitment to social change and to ending violence against women and children.

·       Willingness to learn about and actively use multicultural awareness and understanding in daily work.

 Spanish-English bilingual a plus.

 Non-Bargaining Unit Position. 25 hours/week, 9 a.m.-2 p.m. Monday through Friday, with some flexibility.  Benefits consistent with Union Contract.
